How word tracking works
Word tracking sends you every new post in open MAX channels that contains the word or phrase you need. You learn about mentions of your company, brand, yourself or a competitor 10–20 minutes after publication, without scrolling through channels by hand.
Why use it
- Reviews and mentions. Where people write about your company, product or service — and what exactly they say.
- Competitors. Their ads, promotions, news and mentions in other channels.
- Market and topic. Industry news, jobs, tenders, events in your city.
- Negative feedback. Spot a complaint before it spreads across channels.
Getting started
- Open "My MAX" → "Words" and click "Add word".
- Type a word or phrase. Choose where to send matches: to the MAX bot, by email, or both.
- Wait for matches. The first ones appear as soon as the word shows up in a new post.
To receive messages in MAX, link MAX to your account in the hi.datool.ru dashboard and keep "Main MAX bot" enabled in the dashboard notifications.
How to write a word
| You write | Found | Not found |
|---|---|---|
cat |
"My cat", "CAT" | "cats", "scatter" |
cat* |
"cat", "cats", "catalog" | "scatter" |
bread to order |
"Bread to order" | "order bread", "bread and order" |
- A word is matched as a whole word; letter case does not matter.
- An asterisk goes only at the end and matches every continuation of the word.
Use it when the word changes its endings:
baker*finds "bakery", "bakeries", "bakers". - A phrase is matched in exactly this word order; any number of spaces between words is fine.
- Length — from 3 letters or digits up to 100 characters: words like "on" or "in" appear in almost every post.
- One word gives one match per post, however many times it occurs there.
Narrowing the search: categories and territory
In the "Add word" window you can narrow the search right away:
- Categories — tick one or more channel topics. Nothing ticked — all categories are searched.
- Territory — start typing a region, district, country or "Worldwide" and pick it from the list. A district includes its regions: "Volga Federal District" also finds posts of Tatarstan channels; a Kazan channel is in the "Republic of Tatarstan".
A channel qualifies if it has at least one of the selected categories and its territory is inside the selected one. Channels without a category or a territory are left out of such a search, and not all channels have markup yet. If unsure, keep "all": on the word page you can filter matches by category and territory without losing anything. You cannot change "where to search" for an added word — remove it and add it again.
Where we search
- In all open MAX channels known to datool.ru.
- Only in new posts: a word starts working when you add it; older posts are not searched.
- Only in the post text. Image captions, comments, chats and private channels are not searched.
Where matches arrive
| Where | When | What's inside |
|---|---|---|
| The "Words" page | 10–20 minutes after publication | date, word, channel, text snippet, link to the post |
| MAX bot | right after the check, up to 10 matches per message | the same |
| once a day at 09:10 Moscow time | up to 30 matches for the day and a link to the page |
Each word has its own "Send to bot" and "Send by email" switches. A switch only stops delivery: the word is still searched and matches stay visible on the site.
Word page
Click a word in the list to open its page with everything found:
- Number strip: how many matches in the selected period and the change against the previous period of the same length (per day on average: the current period is still running and is shorter), in how many channels, how many times those posts were viewed and where the word appears most often.
- Matches by day — as columns; long periods are grouped by weeks or months.
- Channels, categories and territories where the word appears. Click a row and the feed below shows only those matches.
- Match feed with filters by category, territory, channel and text. A territory includes nested ones: "Republic of Tatarstan" also shows matches from Kazan.
- Excel export — matches for the selected filters, on the Premium and Business plans. The file downloads right away and holds up to 20,000 matches: if there are more, choose a shorter period.
We remember a channel's categories and territory at the moment of the match. If a channel has no markup yet, the match goes to "No category" or "Not specified". We keep extending channel markup.
How many words
| Free | Premium | Business | |
|---|---|---|---|
| Words and phrases | none | 5 + packs | 50 + packs |
- Words belong to the organization: all its members see and edit them.
- A word pack adds 50 more words for 30 days from payment and costs 990 ₽. You can buy it on Premium and Business: the "+50 words" button on the "Words" page or the "Subscriptions and billing" section of the account. A purchased pack works for its whole term on any plan — even if the subscription has ended.
- Every word has a "Track" switch. You can have no more words switched on than your limit allows. A switched-off word is not searched and sends no matches, but stays in the list with its old matches and does not take a place in the limit: keep spare words and switch them on when you need them.
- When the subscription ends and there is no pack, words and matches remain, but new posts are not checked.
- If the plan was downgraded or a pack expired and more words are switched on than the limit allows, the first switched-on words by date added are searched, and the others are marked "not tracked" on the page. Switch off the extra words or buy a pack — you decide which words to search.
"Too frequent" word
Some words appear in almost every post, such as "news". To keep the bot from sending hundreds of messages, we save at most 50 matches per word per check (10 minutes) and at most 500 per day. Extra matches are skipped and the word is marked "too frequent". Make it more specific: remove the asterisk or add a word next to it.
